In Ancoris Signatures, you can assign a Signature Template to users individually, or you can assign them per OU. This article sets out to explain both methods of assigning signatures.

Please Note: Each user that has an Assigned Signature will use a license, where Signatures are applied per OU, each user in the OU will use a license. 



1. Signature Statuses


Under the Manager Users tab in the Ancoris Signatures Dashboard, you can identify the status of a user's Signature under the Status column. Here are the definitions of each status:


Not Set
This user or OU has no Signature assigned. (No license used)


Pending Sync
This user or OU has a Signature assigned, but has not yet been synced to Gmail. (License used)
- You can force an update by clicking Update Signatures.

- Automatic Sync can be configured under the Settings page.
- If stuck Pending sync, check the logs and our troubleshooting guides.


Synchronized  
This user or OU's Signature is up to date has has been synced with their Gmail. (License used)



2. Assign a Signature to an individual user


To assign a signature to a user individually:

  1. Go to Dashboard
  2. Under the Manage Users tab, select a user/s by checking the checkbox next to their email address
  3. Click the green Templates button and select Assign Template
  4. In the Assign Template dialogue that appears, select a template in the drop-down menu.
    - Please note, the assign template dialogue shows 'dummy' profile information, not profile information of selected users/OUs
  5. Click Confirm to assign the template to the user

Once the template has been assigned, you will notice the user is now Pending Sync, you can sync the Signature to their profile right away by selecting Update Signatures. 


3. Assign a Signature to all users in a specific OU


To assign a signature to all users within an Organisational Unit:


Firstly ensure that all OUs are synced with Ancoris Signatures, you can do this using the manual Sync Org Units iconunder the Manage Users tab

  1. Go to Dashboard
  2. Under the Manage Users tab, check the box labeled View OUs to switch to OUs instead of Users
  3. Check the box next to each OU you wish to Assign a particular template

  4. Click the green Templates button and select Assign Template

  5. In the Assign Template dialogue that appears, select a template in the drop-down menu.
    - Please note, the assign template dialogue shows 'dummy' profile information, not profile information of selected users/OUs

  6. Click Confirm to assign the template to the OU


Once the template has been assigned, you will notice the user is now Pending Sync, you can sync the Signature to their profile right away by selecting Update Signatures.


Please Note: When a signature is assigned to a user via OU, you cannot edit their template assignment individually, only at OU level. To change a specific user's template, you will first need to remove their OU template (see step 4)



4. Unassign a Signature from a user or OU


If you wish to unassign a signature from a user to free up a license, you can simply refer to the above guides for assigning a signature (2. for users, 3. for OUs).


Upon pressing the Templates button, simply select Remove Signatures.



Please Note: The signature will no longer sync to the user's Gmail, however it will not remove their currently configured signature.
