Ancoris Signatures allows you to create Signature Templates so you can easily manage multiple different designs for users across your organisation. This allows different designs to be assigned to users either individually or per G Suite Organisational Unit.


Please Note: In order to create or edit Signature Templates, a user with the Administrator role is required.

1. Creating a new Signature Template


Ancoris Signatures has pre-built templates that you are free to use! However, should you wish to create your own templates, you can create a new one from scratch on a blank canvas, or you can duplicate one of ours as a starting point.


To create a new template:

  1. Click Dashboard on the left hand navigation
  2. Go to the Configure templates tab
  3. Under Signature Templates, click New signature
  4. The editor will now be visible, enter a name for your template in the field above the editor and then click the green Save button


To duplicate a template:

  1. Click Dashboard on the left hand navigation
  2. Go to the Configure templates tab
  3. Under Signature Templates, select the signature you wish to duplicate
  4. Press the copy icon then enter a name in the presented field




2. Edit or Delete a Signature Template


If you have a Signature Template already and need to update it or delete it as it's no longer in use, you can do so easily using the following instructions:


  1. Click Dashboard on the left hand navigation
  2. Go to the Configure templates tab
  3. Under Signature Templates, select the signature you wish to edit or Delete
    - To delete: Click the bin icon
    - To edit: Click the pencil icon


Please Note: The pre-built signature templates cannot be edited or deleted, they can however be copied to a new template for you to make changes.



3. Using the editor


After following the steps in either section 1 or 2 above, you will be presented with an editor (just like the screenshot below) where you can edit your Signature Template. In the editor there are options to change various settings such as font colour and size, add images or links and create fields that will display your user's appropriate profile information.



 Adding your company logo


You can add your G Suite company logo to your Signature Template with just a couple of clicks. The logo can be used and updated from the company logo that has been configured in your G Suite domain.



  1. Click the 'Add Company Logo' icon in the editor
  2. Specify the URL (default will use your G Suite company logo automatically) and specify a size
  3. Click OK

Showing user's profile information


You can fill email signatures with a user's profile information (such as their name, job title, email address and phone numbers) automatically using the merge field option in the editor. The user's information is added into the signature using placeholder text that will be replaced with the relevant information from the user's profile when it is synced to their profile. 



There's no need to remember all of the placeholder names, you can add them into a signature easily like so: 

  1. In the editor, click the Merge Field icon
  2. In the drop-down menu, select the profile information you wish to display
  3. Select if the merge field is conditional
    - A conditional field will only be displayed on the user's signature if they have the profile information available.
    - For example: If the user has no job title configured in Ancoris Signatures or G Suite, the field will not be displayed. 
  4. Click OK


Once a merge field has been added to the signature it will be shown as placeholder text like so:




More customization using HTML


If preferred, you can edit your Signature Template using HTML instead of our rich text editor.


To switch to using HTML, just enable HTML mode in the top right corner of your template.




4. Previewing your Template


Once your Signature Template is complete, you can preview how it will be displayed in user's emails on a per user basis. In the screenshot below you can see the Template Preview window showing how Alan Walker's signature will be displayed in his emails. 



To preview your own templates:

  1. Click Dashboard on the left hand navigation
  2. Go to the Manage Users tab
  3. Click the three dots next to a user you wish to previewthen choose Preview signature
  4. In the Preview Template window, you can see how the signature will be displayed for the specific user, using the drop-down in the top right you can choose which template to preview.
